Marketing Chair

The Marketing Chair leads the Marketing Committee: social campaigns, the newsletter, the website, and the design asset library. The mailing list is the workhorse channel and drives most ticket sales.

Responsibilities

Pre-Event

  • Start social promotion 3-6 months out at minimum; paid ads are not used.
  • Get the year's website repo live before October 1 so the monthly newsletter on the 1st can link it.
  • Run the milestone campaigns: CFP announcement (October 1), prospectus publicity, early bird launch and countdown, speaker "Guess Who" teaser and reveal series (two posts per speaker across five platforms, starting mid-January), grant deadline, shirt last-chance, and sponsor thank-yous.
  • Send the Mailchimp newsletter monthly, then weekly near the event.
  • Keep the weekly cadence themes running between milestones: Monday quotes, Wednesday tutorial recordings, Friday community content.
  • Build the reusable Canva campaign brand template early in the cycle, not in the final month. Produce assets in three sizes per campaign.
  • Schedule posts through Buffer across LinkedIn, X, Bluesky, Fosstodon/Mastodon, and Facebook. Mastodon requires 720px minimum GIFs; design assets accordingly.
  • List the CFP on python.org events and pythondeadlin.es; offer CFP-writing help via Discord.
  • Enforce the "Approved To Market?" gate: sponsors get zero promotion until Finance confirms payment.
  • Run daily sponsor countdown posts across the final two weeks; the contractual obligation is one shoutout, practice is one before and one during.
  • Announce on Meetup.com to the Texas Python meetups and do a website freshness pass (Speak section, sponsor page, what-to-bring page) about 3 weeks out.
  • Skip mass-emailing universities; it produces nothing. Go for CS-club-level personal engagement instead.
  • Prepare the feedback form and organizer-interest form before the conference.

Day of Event

  • Post the sponsor thank-you and live-event content as scheduled.
  • Capture photos and short clips for post-event use.

Post Event

  • Promote the post-event survey; responses run about 2 weeks.
  • Export Buffer analytics and file photos.
  • Publish the recordings: the vendor delivers unlisted YouTube videos, and each video and the playlist must be flipped public.
  • Run the replay drip: one recorded talk promoted per week, every Wednesday, starting about 13 weeks after the conference and running about 16 weeks, across five platforms, with a GIF per talk. Sponsored talks are included.
